We are an award-winning wholesale matcha and tea company serving cafés, restaurants, and food & beverage professionals across Canada. As a growing and fast-scaling business, we are expanding our team and looking for a Client Coordinator who will play a key role in shaping and improving the Hokusan client experience.

Job Description
The Client Coordinator is the first point of contact and gatekeeper of Hokusan Tea Canada, representing our brand and values in every client interaction. This role is responsible for delivering a consistently warm, professional, and thoughtful customer experience.

Rooted in the spirit of Omotenashi —attentive, proactive, and considerate service—the Client Coordinator ensures clients feel supported and cared for at every stage of their journey. While internal coordination with Sales, Marketing, and Distribution is important, the primary focus of this role is enhancing and protecting the client experience.

This role is ideal for someone who is calm under pressure, highly organized, naturally service-oriented, and takes pride in exceptional customer care.

Responsibilities
- Serve as the first point of contact for clients, providing friendly, professional, and thoughtful communication
- Coordinate client orders, inquiries, and requests with care and attention to detail
- Communicate with clients, partners, and internal teams to ensure a smooth client experience
- Support sales and operations with administrative tasks
- Maintain accurate client and order records across multiple systems
- Manage multiple priorities, including customer request changes and inquiries
- Collaborate across departments to ensure smooth operations

Qualifications
- 2–3 years office or administrative experience
- Experience in operations, logistics, or product-based businesses; wholesale/Food&Beverage experience a plus
- Advanced to native-level English (written & spoken); Japanese language skills are an asset
- Strong proficiency with company software and tools (QuickBooks, Shopify, Pipedrive)
- Canadian Citizen, Permanent Resident, or valid work authorization for 2+ years
- Calm, flexible, reliable, and team-oriented
- Strong problem-solving and time management skills
